how to remind someone to sign a document.
Check the request before following up. A useful reminder names the document, leaves room for questions, and uses a deadline only when it exists.
Silence is not agreement. Neither is an opened signing page. The aim is to find out what is holding up the request, not pressure someone into signing.
check status and recent activity first
In sign, open documents using your sender account, then select the document title. Check its status, signer address, and activity timestamps in UTC.
A draft has not been sent. A sent request is waiting; that label does not prove the email reached the inbox. Opened records a signing-page event, not proof of reading, identity, or consent.
Look for a recent reminder before adding another. If the signer has asked a question, answer it instead of repeating the signing request.
choose a personal email or the reminder button
For an open, unexpired request, sign shows “send a reminder.” It emails the existing signer address with the existing signing link. No extra send is used.
The button sends sign's fixed reminder email, including the original invitation note if you added one. There is no custom reminder-message field.
Manual and automatic reminders share a count and the last-reminder time. The automatic schedule checks eligibility after 2 days, then after 5 days.
Automatic reminders require fewer than 2 recorded reminders and at least 2 days since the last reminder. Manual reminders use those automatic slots too. The manual button requires at least 1 hour since the last reminder; it does not have that 2-reminder total cap.
These are eligibility rules, not a delivery appointment. Processing limits and email failures can affect timing. Opening the signing page does not restart the schedule.
To discuss a deadline or answer a question, write from your own email instead. The examples below are personal correspondence, not text pasted into sign's reminder button.
polite reminder examples
a first check-in, without a deadline
Subject: contractor agreement for review
Hi Alex, I'm checking whether you received the signing email for our contractor agreement. Is anything unclear, or do you need more time to review? Reply with any questions before signing.
a real deadline, with its reason
Subject: order form review before our planning meeting
Hi Alex, we agreed to review the order form before our November 12, 2026 planning meeting. Could you review it by November 11, 2026? If that timing no longer works, tell me so we can discuss the next step.
Examples only: replace the name, document, dates, and purpose. Use the deadline version only if that deadline and reason are real. Include a timezone if you specify a time.
Avoid invented consequences, “urgent” without a reason, or claims that signing is a formality. Give the signer space to review the full document. sign's summary describes the text; it is not legal advice or a substitute for reading it.
fix the request instead of repeating it
the address is wrong or the file changed
Confirm the intended address through a channel you already trust. Do not forward a signing link to an unverified address; the link grants access to the document.
A sent file and signer address cannot be edited in place. For a waiting request, choose “void it,” then confirm, before preparing the corrected version. Voiding closes the old signing link and returns the send to your balance.
Upload the correct file as a new draft. Review its summary, signature position, and signer details before sending. Uploading alone emails nobody. If the initial send failed and the document remains a draft, correct that draft before trying again.
the signing link expired
Signing links expire after 30 days. An expired request cannot receive a reminder or be reopened with the old link. Use “upload a corrected document” to prepare a new draft, even if the file is unchanged. Review and send it as a new request; sending that new request uses 1 send.
the signer declined
Stop reminders and read any reason they gave. Nothing was signed, and the send returns to your balance. The declined request stays closed. Address their concern before proposing a corrected document; a refusal is not permission to keep sending requests.
know when to stop
Stop following up after signing, withdrawal, or refusal. sign does not send reminders for closed requests. If the signer says they need time, agree on a check-in rather than adding repeated personal emails alongside automatic reminders.
After signing, download the signed copy from documents and keep it with your records. If you no longer need an unsigned request, withdraw it rather than leaving an unwanted signing link open.
Starting a replacement request? Read the PDF sending steps. See send packs if you need more sends; they are paid once and never expire.
